Under the hood

How your response rate is worked out.

Response rate is the share of invited people who completed your survey. Use counts from the same survey, audience and time window, and count each person once.

If you shared an open link or a QR code, you may not know how many people saw it. Then report the number of completed responses and how you shared it instead.

Response rate = completed responses ÷ people invited × 100

A quick example

If you email 800 customers and 168 complete the survey, the response rate is 168 ÷ 800 × 100 = 21%.

Keep in mind

  • Completed responses can’t be more than the people you invited.
  • Leave out duplicates and test responses before you count.
  • A high response rate doesn’t guarantee the answers represent everyone.

What moves response rate

Small changes to how you invite people often matter more than the survey itself.

ChangeWhy it helps
Fewer questionsPeople finish what looks quick. Say how long it takes.
One clear purposeA survey about one thing feels relevant and easy to answer.
Mobile-friendly formMost people open survey links on their phone.
One polite reminderA reminder a few days later reaches people who meant to answer.
The right momentAsk soon after the experience you’re asking about.

Before you send your next survey

  1. Test the link.Open it on a phone, signed out, to check anyone can answer.
  2. Say why it matters. One line on how you’ll use the answers makes people more willing to help.
  3. Keep incentives fair.If you offer a reward, explain the terms and make it the same for every answer.
  4. Plan the numbers.Use the sample size calculator to see how many responses you need, then invite enough people to reach it.

Survey Response Rate Calculator questions

How do you calculate a survey response rate?

Divide the number of completed responses by the number of people you invited, then multiply by 100. For example, 168 completed responses from 800 invitations is a 21% response rate.

Should I include partial responses?

For a completion-based response rate, count only finished responses. If you also track partial answers, report them separately so the numbers stay clear.

Can I calculate a response rate for an open link or QR code?

Only if you know how many people received it. For a public link or printed QR code, report the number of completed responses and how you shared it instead.

How do I get a higher response rate?

Keep the survey short and focused, say how long it takes, make sure it works on phones, ask soon after the experience and send one polite reminder.

Is my data private?

Yes. The rate is worked out in your browser. Nothing you type is sent to Tapzy's servers.
